Your information stays connected to your project.

This policy explains how Deaton’s Aerial Photography collects, uses, protects, shares, and retains information. We do not sell personal information.

Information we collect

We collect contact and account information, project and property details, access instructions, site-authority representations, communications, signed-document records, operational data, FAA authorization information, delivery information, and billing records. Payment providers such as Square process card information; Deaton’s Aerial Photography does not store full card numbers.

How information is used

Information is used to answer inquiries, prepare estimates, review airspace, schedule and perform services, obtain authorizations, communicate with clients, issue invoices, deliver media, maintain business records, improve service, and comply with tax, insurance, safety, and regulatory obligations.

Website analytics

We record page paths, referral sources, timestamps, and a one-way-hashed temporary visit identifier to understand website traffic and improve the service. The first-party analytics system does not store a visitor’s name, email address, advertising profile, or full payment information.

Client portal and electronic signatures

The portal ties projects and documents to the email used for the quote. Electronic signature records may include the signer’s name, email, role, timestamp, document version, project identifier, IP address, and browser information. These records are retained to establish an audit history and provide signed copies.

Sharing

Information may be shared with payment processors, secure hosting and storage providers, delivery services, insurers, qualified subcontractors or collaborators, and government or regulatory authorities when reasonably necessary. Information is limited to what is needed for the service. Personal information is not sold.

Media and portfolio use

Project media may be used in the company portfolio, website, social media, advertising, or promotions unless the client opts out before final delivery. Removal requests apply prospectively; removal from materials already produced, distributed, or lawfully published cannot always be guaranteed.

Marketing choices

Project, security, billing, receipt, scheduling, and delivery messages are operational communications. Optional marketing messages are sent only when permitted and may be stopped at any time. Clients can also opt out of portfolio use through their project documents.

Retention

Business, contract, signature, and financial records may be retained for at least seven years when required for tax, insurance, legal, or regulatory purposes. Project media is generally retained for approximately 24 months after delivery unless otherwise agreed. Clients are responsible for downloading and backing up delivered media.

Security

Reasonable administrative, technical, and physical safeguards are used for a small service business. Secure sign-in links expire, project access is tied to the client’s email, and signed records are locked. No internet or storage system can guarantee absolute security.

Children

Personal information is not knowingly collected directly from children under 13. Projects involving minors must be arranged by an adult, and a parent or guardian must provide any required media release.

Your choices and requests

Clients may request access to or correction of their information, ask questions about retention, opt out of marketing, or request future portfolio removal, subject to legal and business record-retention requirements.

Third-party services

Square processes invoices and payments; Resend delivers transactional email; Google supports mapping and address tools; and the website hosting and storage providers process site, database, and media data. Weather, file-delivery, and other providers may also process limited information required for their services. Each provider operates under its own privacy and security practices.
